Who can see reports
Reports access levels, the per-person switch and what each role can do
Last updated 2026-10-05
Each workspace role has a Reports access level. The workspace owner sets it in Workspace settings → Roles.
| Level | Sees | Can make | Can also |
|---|---|---|---|
| None | No Reports page | — | — |
| Own | Only the reports they made | Person reports about themselves | Regenerate or delete their own reports |
| Team | Every report in the workspace, the calendar and the schedule | Any type, about anyone | Regenerate any report; make a past day's report or today so far; delete their own reports |
| Manage | Everything | Everything | Change the schedule, pin and unpin, delete any report |
The workspace owner always has Manage. The built-in Manager role has Manage. The Member and HR roles have Own.
Each person's numbers
The workspace owner decides whether reports may show individual people's numbers. The switch is in Reports → Schedule, and it also controls the team card on the dashboard.
When it is off:
- reports leave out the per-person parts: the team table, replies by person, and tasks and work logs by person
- the Team performance type is not offered
- Person reports can only be about yourself
- totals such as the team's active time are still shown, because they name no one
Each report remembers whether the switch was on when it was made.
One workspace at a time
A report only ever contains the numbers of the workspace it belongs to. If you belong to several workspaces, each has its own reports, and a link to a report only opens in its own workspace.
When a workspace is read-only, you can still open, print and download its reports, but you cannot make or change them.
