Roles & Permissions
Custom roles with per-section access levels
Last updated 2026-09-12
Settings → Workspace → Roles lets owners and admins define custom roles with fine-grained access, separate from the work roles (Developer, Marketing, etc.) chosen in Preferences.
Permission Levels Per Section
Each custom role sets an access level for every workspace section:
| Section | Controls |
|---|---|
| Work logs | Daily/weekly/monthly logging |
| Tasks | Task manager and kanban board |
| Meetings | Meeting tracker, contacts, scheduling |
| Goals & OKRs | Objectives and key results |
| Reports | Work summaries and exports |
| AI Assistant | Analyzer, Brainstorm, Chat, Strategist |
| WhatsApp inbox and analytics | |
| Team analytics | Team Dashboard visibility |
For each section, assign one of four levels:
- None — the section is hidden entirely for this role.
- Own — the member sees and edits only their own data.
- Team — the member can view everyone's data in that section.
- Manage — the member can edit and assign work to others.
Admin Abilities
Beyond section-level access, roles can grant specific administrative abilities (e.g., managing members, editing workspace settings) independent of the section permissions above — useful for creating a "team lead" role that manages people without full owner access.
Creating and Editing Roles
Click Add role, name it, and set each section's level plus any admin abilities. Duplicate an existing role with the copy icon to use it as a starting point. Roles in use by members can be edited but not deleted until members are reassigned to a different role.
Only the workspace owner can manage roles; admins with the appropriate ability can view but not necessarily edit them, depending on how the owner configured that ability.
